K-1 Tracker Template: Status, States, and Late Issuers

A K-1 tracker template is the grid you copy before anyone maps boxes to a 1040. Eight columns: entity, EIN, tax year, expected date, received, federal vs state, PTP flag, accountant pinged. Raziel's K-1 intake guide is the inbox workflow. This page is the sheet those statuses sit on. Private-fund, real-estate partnership, and SPV packets arrive on the issuer's calendar. A labeled row beats a folder of PDFs.

Copy these eight columns

Open one row per partnership or S corporation interest, per tax year. When federal and state arrive as separate files, keep both on the row. Do not collapse two vehicles that share a GP brand.

  • Entity. Legal name from Part I, plus the form: Schedule K-1 (Form 1065) or Schedule K-1 (Form 1120-S). The IRS 2025 Partner's Instructions: the partnership uses Schedule K-1 to report your share, files a copy with the IRS, and you may owe tax on that share whether or not cash was distributed.   • EIN. Partnership employer identification number from Part I. Join it to the vehicle on your book. Do not use a truncated partner TIN as the entity id. The Partner's Instructions: for your protection the K-1 may show only the last four digits of your identifying number. The partnership has still reported the complete number to the IRS.

  • Tax year. The year printed at the top of Form 1065 (or Form 1120-S) and of each Schedule K-1. The 2025 Form 1065 instructions: for a fiscal or short year, fill that tax-year space on Form 1065 and each Schedule K-1 or K-3. The Partner's Instructions: if you file a calendar-year return and the partnership's year ends in February 2026, report those amounts on your 2026 return. Log the partnership year, not the week the PDF arrived.

  • Expected date. IRS 2025 Instructions for Form 1065: a domestic partnership generally files by the 15th day of the 3rd month following year-end. Calendar-year due date is March 15. March 15, 2026 was a Sunday, so the instructions treat a March 16, 2026 filing as timely. File Form 7004 by the regular due date for an automatic extension. IRS 2025 Instructions for Form 1120-S: calendar-year S corporations share that March 16, 2026 date. Put the issuer's regular due date in Expected. If they told you Form 7004 is in, put the extended date they gave you. Do not put your individual return due date here. Do not invent a state due date.

  • Received. A file you can hand over, not an email that says the packet is coming. If an amended K-1 replaces an original, keep both and mark which is current.

  • Federal vs state. Two packets. The Partner's Instructions: an asterisk after a code means an attached statement. STMT in the dollar column means the item is not a single number. A federal face page with no statements is not complete. A state K-1 or equivalent is a second file when the issuer sends one. Copy that state's own instructions.   • PTP flag. Schedule K-1 (Form 1065) item D: check if this is a publicly traded partnership (PTP). The Partner's Instructions: if that box is checked, you are a partner in a PTP. Passive activity limitations apply separately for each PTP. A net passive loss from a PTP may not be deducted from other passive income. It is suspended and carried forward against passive income from the same PTP. Flag it for the accountant.

  • Accountant pinged. Date, who, what you sent. Ping "complete packet" or ping "late, still waiting" with the chase log. Do not ping twice on the same incomplete face page.

States a row can sit in

Received is a state, not a yes or no. Move it when the file changes. Do not leave Late on a row that now has a complete packet.

  • Not expected yet. The partnership year has not closed.

  • Expected. A date is in the column. No PDF.

  • Received, federal only. Face page in. State, statements, or K-3 still missing if they apply.

  • Received, complete. Federal, state if issued, and the attached statements.

  • Late. The day after Expected, no PDF.

  • Amended pending. You asked for a corrected K-1. The original stays on the row.

  • Amended received. Corrected file in. Original retained. Current marked.

  • Accountant pinged. They have the current packet, or they have the late notice.

Late issuers

Late is a state you can defend, not a feeling. IRS 2025 Form 1065: for each failure to furnish Schedule K-1 (and Schedule K-3, if applicable) when due, a $340 penalty may be imposed per schedule. IRS 2025 Form 1120-S uses the same $340 figure for a failure to furnish those schedules to a shareholder when due. That is the issuer's penalty, not your filing instruction.

On a late row, log the last chase: date, channel, who you asked, whether they said Form 7004 is in, and the date they quoted. Do not fill Expected with a date they did not give you.

If you believe the partnership made an error, the Partner's Instructions are specific. Notify the partnership and ask for a corrected Schedule K-1. Do not change any items on your copy. Be sure the partnership sends a copy of the corrected K-1 to the IRS. On the template that is Amended pending, then Amended received. Keep the original.

A workbook holds this if each interest and each year stays a row, federal and state stay separate flags, PTP is a column, and the accountant ping has a date. It fails when two funds share a brand and one row, when federal received means done, or when you ping the accountant on a face page with no statements.
